For those who aren’t in the know, in the biz, we call it "基幹システム" – it’s like the backbone of a company, keeping everything running smoothly. One of the big questions we get a lot is how these core systems integrate with other IT systems. So, I thought I’d sit down and share some of my thoughts on this. 基幹システム

But then you’ve also got other IT systems, like customer relationship management (CRM) systems, marketing automation tools, and e – commerce platforms. If these systems don’t talk to each other, you end up with a bunch of silos. Data gets stuck in one place, and you can’t get a full picture of what’s going on in your business.
For example, let’s say you’ve got a great CRM system that tracks all your customer interactions. But your core system doesn’t know about these interactions. When a customer places an order, the core system has no idea about their past history, preferences, or any special deals they’ve been offered. This can lead to a really disjointed customer experience. On the flip side, if your core system can integrate with the CRM, it can use that customer data to personalize the order process, offer better service, and even upsell or cross – sell more effectively.
Now, how do we actually make this integration happen? There are a few different approaches, and each has its own pros and cons.
API – Based Integration

As soon as something changes in one system, the other system can be updated right away.
However, there are some downsides. APIs can be complex to manage, especially if you’re integrating multiple systems. You need to make sure that the APIs are secure, and that they’re not overloaded with requests. Also, different systems may use different APIs, so you might need to do some custom coding to get them all to work together.
Middleware
Another option is to use middleware. Middleware is a piece of software that sits between different systems and helps them communicate. It acts like a translator, taking data from one system, converting it into a format that the other system can understand, and then sending it over.
For example, if your core system uses one data format and your e – commerce platform uses another, the middleware can translate the data between the two. It can also handle things like data transformation, routing, and security.
Middleware is great for situations where you have a lot of systems to integrate, or where the systems are very different from each other. It can simplify the integration process and make it more manageable.
But middleware also has its drawbacks. It can be expensive to implement and maintain. You need to have a team of experts who know how to configure and manage the middleware. And if the middleware goes down, it can disrupt the entire integration process.
File – Based Integration
File – based integration is a more traditional approach. In this method, data is transferred between systems in the form of files, such as CSV or XML files. For example, at the end of the day, your CRM system might export a file with all the new customer data. Then, your core system can import that file and update its own database.
The advantage of file – based integration is that it’s relatively simple and easy to understand. It doesn’t require a lot of technical expertise to set up. And it can work with almost any system, since most systems can handle file imports and exports.
However, file – based integration has some serious limitations. It’s not real – time. There can be a significant delay between when the data is generated in one system and when it’s available in the other system. Also, there’s a risk of data errors during the file transfer process. If the file format changes or if there’s a problem with the import or export, the data can get corrupted.
Challenges in Integration
No matter which approach you choose, there are some common challenges that you’ll face when integrating core systems with other IT systems.
One of the biggest challenges is data compatibility. Different systems may use different data formats, naming conventions, and data models. For example, your core system might use the term "customer ID" to identify customers, while your CRM system might use "contact ID". You need to make sure that you can map these different data elements correctly so that the data can be used effectively across all systems.
Security is another major concern. When you’re integrating systems, you’re essentially opening up channels for data to flow between them. This means that you need to make sure that the data is protected at all times. You need to implement proper authentication and authorization mechanisms, as well as encryption to protect the data in transit and at rest.
Change management is also a big issue. As your business grows and changes, your IT systems will need to change too. New systems may be added, and existing systems may be updated or replaced. This can make the integration process more complex. You need to have a plan in place for how to handle these changes and ensure that the integration remains seamless.
